Payroll Corrections
Explains the different ways you can correct your employee year to date totals, including Year to Date Adjustments, Voids and Reissues, and corrective actions you can take in your standard payrolls.
OVERVIEW
There are a number of ways to make corrections to employee payroll data if you notice an issue with earnings, tax withholdings or deduction amounts. Some issues can be corrected by you on your next Standard Payroll Run, however, we will need to get involved if a Void and Reissue or Year to Date Adjustment is needed.
Some changes may require amendments, which often have fees.
INCREASING YTD TOTALS VIA STANDARD PAYROLL
You can increase a Year to Date total for an employee on your next standard payroll, provided it does not fall into the next quarter. You can adjust the appropriate line item to catch the employee up on Step 2 of payroll.
If your next payroll is in the next quarter, the employee's taxable earnings may be impacted, which can impact quarterly filings. In those scenarios, Namely will need to get involved to make corrections.
WORKING WITH THE SERVICE TEAM
If you need to reduce a total, or your upcoming standard payroll falls into the next quarter, our payroll experts will need to assist.
Namely will perform one of the two actions to correct your payroll data:
The above articles explain both processes in more detail, and provide instructions for submitting cases to Namely to ensure efficient correction processing. Both processes require filing out a form or template which should be included with your case submission.
Voids and Reissues vs. Year to Date Adjustments
Voids and reissues are used to correct:
-
Pre-Tax Deductions (Medical. Dental, Vision, 401k.)
-
Incorrect Pay Amounts
-
Employee coded to incorrect state and had taxes withheld.
-
Anything that impacts taxable wages for the employee
-
FICA incorrectly exempt or non-exempt for 1+ pay periods in a current quarter
Year to Date Adjustments are used to correct:
-
Post tax deductions.
-
Employer Amounts that need to be adjusted.
-
Moving wages from one bucket to another where the pay code is taxed the same. EX: Moving “Bonus” to “Commission” or “Bonus (W4)” to “Commission (W4).
-
Anything that does not impact taxable wages.
